Project Management and Time Tracking

The world of Time Tracking and Project Management is a vast one. For small businesses like ours, there are seemingly endless time tracking solutions and a good number of project management answers.  I spent nearly two weeks evaluating options in my spare time, so hopefully this data will help save you some time.

Here are the criteria I used to narrow down the possible project management and time tracking solutions:

  • Web based application
    Our devs use various platforms and it needs to run everywhere without install and upgrade headaches, I also considered Air and Flash apps
  • Support for 5 users
    Because, yanno, we need five people to record time
  • Time tracking must include timer with start/stop capabilities
    We are multi taskers and like accuracy; we considered products with timer widgets as well
  • Feature list and pricing prominent
    Excluded all sites with vague details, no screenshots,  or “contact us for details and pricing” models, due to sheer volume and time needed to research
  • Must have a free trial evaluation
    Yanno, so I could evaluate them
  • Professional and sharp web site
    Attention to detail is critical to good software design and project management, how they run their site should reflect this

After nearly ten hours of research, I narrowed the field to fifteen products. Then I evaluated each product by importing several of our current projects into it and using the time tracking tools for one day. After which I ran reports and recorded my findings in a spreadsheet. The final ratings were on a 1-5 scale, based on usability, project management capabilities, time tracking capabilities, invoicing features, reporting capabilities, and API and integration tools. Here’s what I came up with:

Once I had some numbers to work with, I weighted each product to meet our needs, based on the following criteria:

  • Usability: Ease and speed of use is very important to us, as we have little time for project management (x2)
  • Time tracking capabilities: highly critical (x5)
  • Project management capabilities: highly critical (x5)
  • Low price:  we want to keep the price under $50 a month, so our value calculation was tweaked accordingly:  rating *3 – (price per month/10)
  • Invoicing, reports, and so on are nice, of course, but we can make due with our external, existing solutions

So, using this data, here were my findings:

It should be apparent that ProWorkflow is, hands down, the best overall product on the market. It’s quality, well thought out, bug free, fast, and powerful. Skylight was by far the best for our needs, according to price versus quality. The rest of the data is interesting, but several of the products listed had a time tracking or project management rating less than three, which is insufficient for our needs. So the final choices for us were as follows:

  • Skylight – use this and put up with the slow, laborious interface; our preference for now
  • Basecamp + MyHours/Harvest/Tick – together, these products are a complete package, but pricey
  • ProWorkflow – very pricey, but we could bite the bullet on this and get the best quality product on the market.

Great analysis. Better yet, I can tell you after reviewing dozens of web based project management solutions and even trying three and dumping them, ProWorkFlow is the best out there and the price is well worth it. In fact, we tried pricier options and they didn’t work as well. I’d recommend you “bite the bullet” because the ROI is there! (Note I am not affiliated with ProWorkFlow (other than a customer) and they are not paying me for my comment.)

Another quality app worth checking out for project management and time tracking is Intervals. It is especially useful for those needing invoicing and detailed reports.

TeamworkPM didn’t pass our initial evaluation; there was nothing in the feature list to suggest that it had a start/stop timer for time tracking. That said, it looks like a great product! I’d certainly think others should evaluate it while looking for solutions.

Document control. Commenting by clients, Client Portal plus the ability to use subcontractors at no extra cost.

Hi Steve,

WorkflowMax does look like a high quality product. Sharp site too! Unfortunately, it didn’t meet our initial elimination criteria–there was no indication on the site of a widget or in-page method to start/stop time on various projects quickly.

While this probably isn’t as important to other companies, this was critical to our needs, since our employees wear many hats, including billable and non-billable ones.

It definitely has a widget right along the top menu bar.

It might sound like I work for them but I don’t I just love the system.

Most systems pack thousands of features into their interface and don’t think about what staff do on a day to day basis and therefore reduce the clicks and mouse movement.
WorkflowMax do this in spades as they provide goal oriented software not just feature rich stuff.

You’ve done your research! I’d also check out another two. Toggl is a well known and interesting time tracking software. And 1DayLater is a simple time, mileage and expense tracker. http://1daylater.com Both have free versions

For purely price related reasons–ProWorkFlow was simply not a profitable solution for our small business–I stuck with SkyLight. However, the interface quickly annoyed me to death, so we ended up using Harvest and Google Docs to manage our projects. Sadly, it’s not the project management powerhouse we’d like, but we’re getting by with spreadsheets, an occasional gant chart that I draw by hand, and harvest’s PM capabilities for now.

It’s project management and CRM together. It handles cases&deals, timers, and has a powerful calendar comparable to Google’s own!

I think there are so many time tracking solutions but worth to mention is Replicon’s Time Tracking Software – http://www.replicon.com/time-tracking-software.aspx. This is just so simple, quick to install and hassle free with so simple reporting interface.

I don’t know what I’m doing reading stuff like this. I find myself looking in because our boss got a project management tool called http://www.dooster.net in February. The organisation is quite small, about twenty of us and last year when I joined it was great fun but we got more clients and somehow couldn’t manage getting new ones as well as servicing them simply because we weren’t getting messages around or defining our projects. The end of last year was like mayhem and our great master became nearly unapproachable. Anyway he declared out of the blue that we would be going with Dooster.net no discussion – no time for one because we were that frantic. And since we’ve started using it we have been running smoothly again and more importantly, very happily. I had thought of changing jobs. I guess any of the applications I read about would have done the same but that’s the one we’ve got and the benefits are so good. I join in with this blog because we would have been really upset if we had realised it was to track how much time we were spending on things. Too sneaky, however, to my distaste he revealed to me how much time I had spent on a project one week and then showed me how he does it on the task history feature. So I’m surprised in a way that Dooster doesn’t feature on the lists above. It has enhanced our productivity and environment.
